What are the ways to get a table from a photo into Excel?
There are three main ways to move a table from a photo or screenshot into Excel. Which one fits depends on how often you need to do it and where the results should end up.
- 1. Excel's Data from Picture: In Excel, choose Data > From Picture and insert an image file or a screenshot from the clipboard, and Excel converts the table into cells. You review and correct the results before inserting them.
- 2. A generative AI chatbot: Upload the photo to a chatbot, ask something like "turn this table into something I can paste into Excel," and paste the answer into Excel. You can specify the column names and format in your request.

What should you check before choosing a method?
For business documents that mix text and numbers, such as delivery notes, invoices and daily reports, check the following before choosing a method.
- Number cells: One wrong digit in an amount or quantity changes the total. Whatever the method, make a habit of comparing the total on the document with the total in Excel.
- Handwriting and blurry photos: Any method can misread them, so a person needs to check against the original. Photos with the document filling the frame and no shadows work best.
- Image quality and angle: Microsoft recommends images that show only the data you need, taken straight on rather than at an angle. That advice helps with any method.
- Personal data: Check company policy before uploading documents containing personal details, such as phone numbers, to an outside service.
Why do daily documents need a log with fixed columns?
A converted table is done once it is pasted. But a company that receives several delivery notes a day does not need one table; it needs answers like "totals by supplier for September." To get that, every incoming document has to land in one sheet with the same column names in the same order.
If each conversion names the columns a little differently, such as "Net," "Amount" or "Subtotal," you have to clean them up before combining. Can Excel's Data from Picture handle any document?
It works best with clean, straight-on images of a table. Results vary with image quality and layout, and the supported languages are listed in Microsoft's support article. Try it with a few of your real documents and compare the values with the original in the review step before inserting.
Can I collect tables converted by an AI chatbot every day?
Yes, but fix your request so you get the same column names and order each time, and someone still has to paste the results into the log. If the same documents arrive daily, a method that adds rows directly to a fixed-column log takes less effort.
Can handwritten documents be converted to Excel?
With any method, handwriting and blurry photos can be misread, so a person needs to check them against the original. AiutoForm marks low-confidence items as Needs review and shows them next to the original.
Once it is in Excel, can we throw away the paper original?
Do not assume so. Tax authorities expect business records to be kept for a set period, for example generally 3 years for many US income tax records and 6 years for UK limited companies, and the rules on replacing paper with images vary.
