Quotes, POs, delivery notes and invoices by email?
Stop retyping them.
AI reads your incoming emails and attachments and records each document in the right sheet. It links customers and suppliers, puts due dates on your calendar, and replies in the original thread with your file attached.

Your inbox is full of business documents, and someone sorts them by hand
Quotes and orders everywhere
Quote requests, purchase orders, delivery notes and invoices arrive mixed in email bodies and attachments. Finding one when you need it takes time.
Retyping leads to mistakes
Copying each email into a spreadsheet line by line means missed rows and typos, and it is hard to tell what was skipped.
Deadlines slip by
Reply deadlines, delivery dates and payment due dates sit in one line of an email until someone notices they have passed.
Emails come in, the paperwork sorts itself
Connect your mailbox and new emails are fetched, analyzed and added as rows to the right sheet. Photos and PDFs can be uploaded directly.
Collect email
Every incoming email is logged in the All Mail list. Drag and drop photos, PDFs or Excel files to upload them.
AI reads and sorts
AI reads the body and attachments, decides the document type and extracts the company, items, amounts and dates.
Rows in your sheets
Each document becomes a row in its sheet, linked to the customer or supplier. Quote → order → delivery note → invoice chains are grouped together.
Due dates and replies
Due dates go on the calendar. To reply, attach your quote file and create a draft or send it in the original email thread.
Email-driven work, in one place
Three screens cover the job: the email list, the data list and the calendar.
A complete email log
Every email, business or promotional, gets one row. The log is checked against the mailbox by date to find and fill in anything missed.
Upload photos and PDFs
Upload faxes, scans or phone photos and AI records them in the right sheet. The same file is never registered twice.
New sheets for new documents
For documents like daily work reports or stock counts, AI suggests a sheet and columns. Approve once and similar documents go there automatically.
Customers and suppliers, kept apart
The other party on each document is registered automatically as a customer or supplier, so you can see every document per company.
Payment tracking
Enter a payment on an invoice and the balance and status (unpaid, partially paid, paid, overdue) are calculated, with alerts as due dates approach.
Due dates on the calendar
See reply deadlines, delivery dates, payment due dates and meetings on a calendar and add them to Google Calendar. Completed items are dimmed.
Reply with attachments
Choose the file to send and set the row to Send: a reply with the attachment is created in the original thread. Pick draft or send now for each one.
Totals by period, partner and month
Filter data by year, month or date range, group by company or month, and see counts and amount totals.
Into your own Excel file or Google Sheet
Data is recorded in the Excel file or Google Sheet you choose. Open and edit it the way you always have.
- Viewing the original email does not use AI, so it adds no extra cost.
- Scripts in emails are never run, and remote tracking images are not loaded.
- Deleting an original email moves it to the trash instead of erasing it permanently.
- Emails that are hard to classify are marked Needs review and shown side by side with the extracted data.

Common questions
How much of my email paperwork can be automated?
Collecting email, sorting by document type, recording data in sheets, adding due dates to the calendar and replying with attachments. When a new email arrives, AI reads the body and attachments, sorts it into quotes, customer orders, delivery notes, invoices or schedule items, and adds the company, items, amounts and dates as a row in Excel or Google Sheets. Your team only checks the items marked Needs review.
Can delivery notes received by email go into Excel automatically?
Yes. Delivery notes in the email body or in attachments (Excel, PDF or photos) are read and recorded in the Delivery notes sheet with date, company, items, net amount, tax and total. Line items are kept in the Line items sheet and linked to orders from the same company. If you track them by hand, you can also download a free delivery note Excel template.
Can purchase orders from customers be turned into an order log automatically?
Yes. Purchase order emails are recorded in the Customer orders sheet with PO number, order date, delivery date, ship-to location and amount, and the delivery date is added to the calendar. The Customers sheet keeps a count of orders per company, so you can see orders by customer at a glance. See the parts manufacturer use case.
How is this different from email filters or rules?
Filters move emails into folders based on the sender or words in the subject. AI classification reads the content and extracts the values you need. An email titled "Quick question" is still filed as a quote if the body asks for a quote, and the requested items and reply deadline are added to the sheet.
Which email services can I connect?
Gmail and Google Workspace today. Outlook and Microsoft 365, and other IMAP mail, are in preparation.
Where is my data stored?
In the Excel file or Google Sheet you choose. Columns are found by their names, so you can reorder or add columns and keep using the sheet.
Does it work with faxes and phone photos of documents?
Yes. Upload a photo or PDF and AI reads it and records it in a sheet. In the demo you can try the recognition flow with Excel and CSV sample files; photo and scan recognition with the live AI is shown during a consultation.
What about documents unique to our company?
For documents that are not quotes, orders, delivery notes or invoices, AI suggests a new sheet. Check the sheet name and columns and approve it; the next time a similar document arrives, it goes into that sheet without asking.
What if something is classified incorrectly?
Low-confidence items are marked Needs review. The data and the original email are shown side by side so you can check and fix them right away. You can also select and delete data that was created by mistake.
Is my email content used to train AI?
No. Emails are analyzed through Anthropic's Claude API, and by default Anthropic does not use content received through its API to train models. The original-email view and list screens do not go through AI.
How much does it cost?
It depends on your email volume and how you connect. Contact us and we will discuss your workflow and give you details.
