Where do job-site receipts come from, and why log them?
On construction, fit-out and manufacturing sites, crews often buy materials or tools in a hurry, pay cash or with a company card, and get a paper or handwritten receipt. Those receipts tend to live in a foreman's wallet or a truck's glove box until they reach the office in a bundle at month end.
Tax authorities expect business expenses to be backed by records. The IRS lists supporting documents such as cash register receipts, credit card receipts and statements, invoices and canceled checks, and says they should show the payee, the amount paid, proof of payment, the date, and a description of what was bought that shows it was for the business.
Records also have to be kept for years. The IRS generally points to 3 years for many income tax records, with longer periods in some situations. In the UK, GOV.UK says limited companies must keep records, including receipts, for 6 years from the end of the last company financial year they relate to, and self-employed people for at least 5 years after the 31 January submission deadline for the tax year. Once several years of receipts fill a box, finding "materials for the Elm Street job in March" takes a long time. With date, site and amount on one row, finding and totaling is easy.
Card transactions are already captured by banks and expense apps, so this guide is about receipts that exist only on paper.
Which columns should a receipts spreadsheet have?
With the eight columns below, you can track job costs and keep the details a supporting document should show.

The columns AI suggests are based on what the receipt shows. Values that are not on the receipt, such as job, paid by or cost category, can be added as columns and filled in yourself. Columns are found by name, so later receipts keep coming in even after you add or reorder columns.
What happens when you upload a receipt photo?
A receipt is not one of the default document types (quotes, customer orders, delivery notes, invoices), so it goes into a custom sheet. You approve the sheet only once.

What to watch for when organizing job-site receipts
- Keep the originals. The sheet is data for finding, totaling and checking. Rules on keeping images instead of paper differ by country and situation, so keep paper receipts for the required period unless your accountant confirms otherwise.
- People make the tax calls. AiutoForm does not decide whether an expense is deductible or whether a receipt is adequate evidence. It keeps the details on one row so your bookkeeper or accountant can review them quickly.
- Check travel and meal receipts with extra care. For travel, gift and car expenses, IRS Publication 463 has its own rules, including when receipts are required (for example, for lodging and for expenses of $75 or more). Ask your accountant how they apply to your crews.
- Check handwriting and blurry photos marked Needs review. Low-confidence items are flagged so you can correct them next to the original. Flatten the receipt and make sure the date and amount are clearly visible to reduce rechecks.
- Watch for personal data in photos. Receipts can show phone numbers or partial card numbers, so limit access to the sheet and original photos to site and accounting staff.
