Who writes daily work reports, and why keep them as data?
A daily work report (daily log, daily construction report) records the work done that day on a construction, fit-out or manufacturing site, along with crew, equipment, delivered materials and weather. It is often written by the site supervisor or foreman at the end of the day, and many sites use the format required by the general contractor or the client.
The trouble is where they pile up. Paper reports sit in a binder in the site trailer and photos get buried in a group chat, so at month end, answering "how many days was equipment on this site" or "when were these materials delivered" means flipping through pages or scrolling back through messages. If the content is kept in a sheet with the same columns, you only need to filter by site and date.

Which columns should a daily work report sheet have?
These eight columns hold most site daily reports as one row each. If the contractor's format has more items, add columns.

How do paper reports and chat photos end up in a sheet?
A daily work report is not one of the default document types (quotes, customer orders, delivery notes, invoices), so it goes into a custom sheet. You confirm the sheet once, and after that you are not asked again.

What to watch for when organizing daily reports
- Keep the originals. Do not throw away paper reports or original photos; use the sheet for finding, totaling and checking. Reports you submit to the contractor still go in the required format.
- Handwriting and blurry photos are marked Needs review. Compare low-confidence items with the original and correct them. Photos taken without shadows, with one report filling the frame, are read more accurately.
- Use one name per site. If the same site appears as "Elm Street" and "Elm Street remodel," filters treat them as different sites. Many teams assign a job number and write it on each report.
- Leave personal data out. Keep workers' phone numbers or ID numbers out of report photos posted in group chats, and decide who can see the sheet.

Is a daily work report different from a daily construction log?
Sites and companies call it a daily report, daily log or daily construction report, but they generally record the day's work, crew, equipment and materials. If the contractor or client requires a specific format, submit it in that format and use the sheet for finding and totaling inside your company.
Does it connect to WhatsApp or other group chats?
No. There is no connection to messaging apps. Save report photos from the chat and upload them, or let it organize report attachments received by email.
Will reports in different formats from different sites end up in one sheet?
If a report is judged to be the same kind, it is filled into the existing sheet's columns. Items that are not on the form are left blank and low-confidence items are marked Needs review, so compare the first few with the originals.
Once it is in a sheet, can we throw away the paper reports?
No. Keep the original reports for the period set by company policy and your contracts. Using a photo or scan in place of a paper original may have its own requirements, so it is safest to use the sheet data for finding, totaling and checking.
